Planning and budget

We prepare a detailed valuation of the organization of the meeting within the costs specified by the customer. In the event of different funding sources (Organising Committee, individual participants, companies, and sponsors) we plan the budget including incomes and expenditures relating to the organization of the event, taking care of their balance. This is particularly important in case of the meetings with a rich program and a wide range of services.

It is undeniable that the decision about the place of the congress, conference or other meeting is of key importance for its success.  That is why for many years we have been cooperating with over 200 hotels of standard from ***** to **, having the best conference facilities in Poland.  We offer meeting rooms in conference, fair, and exhibition centres as well as in monumental interiors (galleries, museums, and palaces).

On-line registration and reception

  • We launch a website of the event with the registration form and on-line service reservation. 
  • We register participants and accompanying persons before and during the event.  
  • We provide financial support in accepting and settling payments for reservation, accommodation, transfers, banquets, and trips. 
  • We accept payments in the form of transfers, cash, credit cards, mail order, and on-line in several currencies. 
  • At the customer’s request, we open a separate sub-account and issue invoices on his/her behalf.  
  • We use our own computer system for the service of congresses, which facilitates the maintenance of applications base, settlement of payments, sending confirmations of participation, issuing invoices, and preparation of statements and reports. 
  • During the event we provide reception service responsible for the reception desk, producing conference materials, issuing invoices, etc. 
  • We host the secretariat of the meeting.


  • We offer accommodation situated within a short distance from the meeting place, with a variety of categories and prices. 
  • On the conference website we list the hotels with the possibility of on-line reservation and payment. 
  • We coordinate accommodation of participants before and during the conference. 
  • At the organizer’s request, we activate information points providing assistance for the participants in accepting payments and producing conference materials.

Conference technology

We provide:

  • professional sound and lighting,
  • multimedia projectors, flipcharts, laser pointers, wireless microphones,
  • plasma screens, large screen projectors, led screens,
  • audio-video recording on selected carriers,
  • poster and exhibition stands,
  • voting equipment,
  • simultaneous translation booths,
  • sound and image transmission simultaneously to different conference rooms, including hotel rooms, and the Internet,
  • network facilities based on synchronous internet connection, 
  • equipment for the secretariat (computers, laptops, faxes, printers, copiers, scanners etc.),
  • heaters/ air conditioning,
  • power generator.

Conference materials

We provide the participants with:

  • conference folders (briefcases) back backs made from any material, typical or according to the accepted model with a commemorative printing, 
  • traditional name badges or electronic access cards, 
  • pens, notebooks, plans, maps, gifts,
  • additional equipment of the hotel rooms (fruit baskets, albums) 
  • we design and print conference publishing materials (announcements, programs, invitations, certificates of participation etc.).

On organizer’s request we prepare conference materials for dispatch to potential participants. 

Visual setting

We develop a design and create a comprehensive information and visual setting of the event. As part of this service we provide the following: 

  • placing boards and banners on buildings, meeting halls and communication routes, 
  • design and construction of reception stands, 
  • arrangement of  poster sessions, 
  • preparation of exhibition stands,
  • decoration project around the theme of the event,
  • floristic setting,
  • additional lighting of places and decoration elements.


We provide the services of top class simultaneous and consecutive interpreters, specializing in selected fields of science and languages.

The meeting rooms are equipped with booths for interpreters.

Accompanying events

Impressions of the participants and guests affect to a large extent a positive assessment of the whole event. 

We do our best to make the event unforgettable: we organize welcome parties, receptions, welcome drinks, banquets at the end of the conference, galas, concerts in unique, historical interiors, in open-air, in tents, on barges and ships, in specially arranged rooms of multifunctional hotels, or in different unconventional places. 

We offer delicious menu with Polish cuisine dishes. 

We will make your event even more attractive –we will organize  a concert of a well-know star, band, fashion show or fireworks display. 

In off-meeting hours, for the participants and their accompanying persons we prepare an interesting tourist program. 

Before and after the conference, we organize few days’ trips to the country’s most interesting places.

Gastronomy and catering

We provide catering services at the highest level: coffee breaks, lunches, dinners, welcome parties, and banquets. Thanks to our long-standing cooperation with professional companies we will  recommend, plan, and provide catering in any location:

  • proven restaurants in the city centre,
  • granges and open-air museums,
  • salt mine (120 meters underground),
  • museums, galleries, tents,
  • trade fair facilities,
  • open-air (picnic, sports competition).


Since 1987 Jordan Group with its own facilities has been operating licensed carriage services – both national and international. 

We provide transfers by highly luxurious coaches, minibuses, passenger cars, limousines, hackneys, melexes, barges, ships, and even by the historical tram. 

We provide transport from/to the airport/railway station – hotels, transfers to the meeting places, we take care of smooth travels of our guests to accompanying events. 

We develop the best concept of the use of transport and do our best to ensure its proper functioning during the conference. Thanks to our cooperation with relevant municipal services we ensure changes in traffic organisation and police pilotage.

Incentive events

For companies who would be interested in organising integration events for their workers or incentive events for the representatives of key customers we prepare unique programs, built up on the best possible hotel facilities and using local attractions.   

We organize the event according to the customer’s expectations or our own design.
